BusinessLodge are committed to protecting and respecting your privacy.


This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

Security of information

Confidentiality affects everyone:

BusinessLodge collect’s, stores and uses personal and sensitive personal data every day, such as personal records and computerised information. This data is used by the BusinessLodge team in the course of their work.


We take our duty to protect personal information and confidentiality very seriously and we are committed to comply with all relevant legislation and to take all reasonable measures to ensure the confidentiality and security of personal data for which we are responsible, whether computerised or on paper.

We have appointed a Senior Information Risk Owner who is accountable for the management of all information assets and any associated risks and incidents, and the Managing Director is responsible for the management of client information and client confidentiality.

Legal basis for the processing of your data

The General Data Protection Regulation (GDPR) 2018 requires the Organisation to process:
Personal data under 6(1)(f) “Processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require protection of personal data, in particular where the data subject is a child.


Sensitive personal data under 9(2)(b) – “processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract;

Why do we collect information about you?

We may collect and process the following data about you:
Information that you provide when signing up to use our services.
If you contact us, we may keep a record of that correspondence.
We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.
Details of transactions between yourself and BusinessLodge.
Details of your visits to our site [including, but not limited to, traffic data, location data and other communication data.
Details on visits to the buildings.


It is essential that your details are accurate and up to date. Please inform us of any changes to your contact details as soon as possible.
By providing BusinessLodge with their contact details, clients are agreeing to BusinessLodge using those channels to communicate with them about essential information in relation to the running of the buildings, including but not limited to Health & Safety, maintenance, equipment updates.

How your personal information is used

We use information held about you in the following ways:

  • In general your records are used to manage and deliver the service you signed up for
  • To ensure that content from our site is presented in the most effective manner for you and for your computer.
  • To provide you with information, products or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes.
  • To carry out our obligations arising from any contracts entered into between you and us.
  • To allow you to participate in interactive features of our service, when you choose to do so.
  • To notify you about changes to our service.
  • We may also use your data, or permit selected third parties to use your data, to provide you with information about goods and services which may be of interest to you and we or they may contact you about these by [post or telephone].
  • If you do not want us to use your data in this way, or to pass your details on to third parties for marketing purposes, please contact us by email.

How long records are retainedThe Organisation does not keep client records for longer than necessary and all records are destroyed confidentially once the Organisation has made the decision that the records are no longer required.

When do we share information about you?

We can’t run our business or provide many of the services and benefits you receive from us without involving other people and organisations from time to time, within the boundary of our legal data protection and privacy obligations.


We are committed to protecting the confidentiality of your personal information and to complying with all data protection laws.  Whether you supply your personal information online, by email or in a letter, by phone or text, we will never use or share it without a lawful reason to do so.


We will never sell your personal information.

We may disclose and share your personal information with:

  • Service Providers who help us.
  • Our insurers and insurance brokers.
  • Credit reference agencies, who supply anti-fraud and credit-insight information to us.
  • Central and local government departments such as the Driver Vehicle Licence Agency (DVLA) and local authorities who run the UK electoral rolls.
  • Banks and finance companies that also provide anti-fraud services. Where anti-fraud is concerned, the organisations concerned may hold your information on file for future anti-fraud-prevention purposes.
  • Other third-party suppliers with your consent.
  • Social media companies such as Facebook, Instagram, LinkedIn and Twitter, and our advertising partners to enable us to run targeted promotions for you on their platforms.
  • Other third parties at your organisation’s direction.
  • Our professional advisers including our lawyers and technology consultants when they need it to give us their professional advice.
  • Enforcement agents, who provide debt collection services to us.
  • The Police, local authorities, Her Majesty’s Revenue and Customs (HMRC), the courts and any other government authority if they ask us to do so and we have legal authority to comply.
  • We may also share the information we collect where we are legally obliged to do so, e.g. to comply with a court order.

Other ways in which we use your information

Call recording


Telephone calls to the Organisation are recorded for the following purposes:

  • To make sure that staff act in compliance with Organisations procedures.
  • To ensure quality control.
  • Training, monitoring and service improvement
  • To prevent crime, misuse and to protect staff

Data subjects rights

Under the Data Protection Act – 6th Principle:

  • a right of access to a copy of their personal data;
  • a right to object to processing that is likely to cause or is causing damage or distress;
  • a right to object to decisions being taken by automated means;
  • a right in certain circumstances to have inaccurate personal data rectified, blocked, erased or destroyed; and
  • a right to claim compensation for damages caused by a breach of the Act

Under the General Data Protection Regulation (GDPR)

  • a right to confirmation that their personal data is being processed and access to a copy of that data which in most cases will be Free of Charge and will be available within 1 month (which can be extended to two months in some circumstances)
  • Who that data has or will be disclosed to;
  • The period of time the data will be stored for
  • a right in certain circumstances to have inaccurate personal data rectified, blocked, erased or destroyed;
  • Data Portability – data provided electronically in a commonly used format
  • The right to be forgotten
  • The right to lodge a complaint with a supervising authority

Your right to object

You have the right to restrict how and with whom we share information in your records that identifies you. If you object to us sharing your information we will record this explicitly within your records so that all staff involved are aware of your decision.

SMS text messagingWhen signing up to services at the Organisation may be asked to confirm that the organisation has an accurate contact number and mobile telephone number for you. This can be used to confirm appointment times or convey important information via SMS text messages.

Surveillance Cameras (CCTV)

We employ surveillance cameras (CCTV) on and around our sites in order to:

  • protect staff, clients, visitors and property
  • apprehend and prosecute offenders, and provide evidence to take criminal or civil court action
  • provide a deterrent effect and reduce unlawful activity
  • help provide a safer environment for all
  • assist in traffic management and car parking schemes
  • monitor operational and safety related incidents
  • help to provide improved services, for example by enabling staff to see visitors requiring assistance
  • assist with the verification of claims

You have a right to make a Subject Access Request of surveillance information recorded of yourself and ask for a copy of it. Requests should be directed to the address below and you will need to provide further details as contained in the section ‘How you can access your records’. The details you provide must contain sufficient information to identify you and assist us in finding the images on our systems.


We reserve the right to withhold information where permissible by the General Data Protection Regulation (GDPR) 2018 and we will only retain surveillance data for a reasonable period or as long as is required by law. In certain circumstances (high profile investigations, serious or criminal incidents) we may need to disclose CCTV data for legal reasons. When this is done there is a requirement for the organisation that has received the images to adhere to the GDPR.

How you can access your records

The GDPR 2018 gives you a right to access the information we hold about you on our records. Requests must be made in writing to The Managing Director, BusinessLodge, Europa House, Barcroft Street, Bury, BL9 5BT.

The Organisation will provide your information to you within one month (this can be extended dependent on the complexity of the request) from receipt of your application:


Information will be provided free of charge except where requests are unfounded or excessive, in particular repeat requests then the Organisation may either charge a reasonable fee or refuse to act on the request.Data controller

If you have any concerns about how we handle your information you have a right to complain to the Information Commissioners Office about it.
The GDPR 2018 requires organisations to lodge a notification with the Information Commissioner to describe the purposes for which they process personal information.
